Project Administrator (Part-Time)

Our Seattle office, comprised of civil engineers, landscape architects and urban planners, is seeking a part-time (approximately 15-30 hours/week), experienced office administrative professional to be our Project Administrator in our downtown Seattle, WA office. This is a part-time, hybrid support role with opportunities for growth to a greater schedule with benefits in the future, if desired. The ideal schedule for this position would be Monday-Friday for 3-6 hours each afternoon, with attendance at a weekly Thursday mid-morning staff meeting. However, MIG is open to work with the right candidate to meet their availability. Some schedule flexibility may be required for staff engagement activities or to meet deadlines. MIG encourages a sustainable and healthy work-life balance, and these excess hours can be offset during the week when possible. MIG supports a hybrid work-from-home and in-office schedule, but some in-person work each week will be required for tasks, learning and team-building opportunities.

Responsibilities

You will work directly with the Principals, Project Managers, and the Office Manager to support their ability to focus on billable work, manage projects, and deliver high quality work products in a fast-pasted and dynamic environment. Approximately 70% of the duties are project management/accounting support for invoicing, heavy reporting, and contract assistance. The remaining 30% of duties include project work, scheduling and general office assistance.

  • Project/accounting support (70%) – assist with various project-related tasks: processing contracts and setting up new projects; drafting additional services and scope changes; initiating subconsultant contracts and paperwork; tracking tasks and ensuring completion; budget management assistance; heavy internal reporting duties; document proof reading, editing and printing; and backchecking costs.
  • General office/staff support (30%)- general assistance; conference room booking; travel arrangements; conference registration; timesheet review; expense reports; license tracking; ordering supplies; and mailings.
  • Coordination with the Business Office/accounting group, Project Managers, and other offices, partners, and subconsultants.

Qualifications

Candidates must demonstrate independent judgment, personal organization, excellent communications skills, and an ability to make decisions and manage multiple priorities and people.

  • You have at least high school diploma or GED and a minimum of 5-years of experience in a professional office; experience in the A/E industry preferred.
  • You are local to the Seattle area and willing to work from the office at least a couple of days a week.
  • Excellent written and verbal communication skills for internal team coordination, and ability to interact with clients and co-workers with tact and diplomacy.
    You can function autonomously and have excellent time management skills with the ability to prioritize multiple tasks.
  • You have a professional and approachable demeanor, positive attitude, and have a sense of urgency with a dedication to ensure tasks are carried out to completion and in a timely manner.
  • You are a proactive, organized, efficient, flexible and adaptable teammate who is willing to pitch in to help others and work on a variety of responsibilities in a fast-paced environment.
  • You have software proficiency in Word, PowerPoint, Excel and Adobe PDF (required). Experience using any accounting software, Deltek Vision/Vantage Point, or Google Suite is a plus.
